Privacy Statement

 

Who are we?

We are an experienced amateur theatre company, registered with the Charity Commission for England and Wales (Charity Number 1155756), whose purpose is to raise money for charity by putting on high quality performances of plays from the Shakespearean era.

 

The Shakespeare Live Board of Trustees are the Data Controller and Data Administrator for Shakespeare Live.

 

What information we collect about you and why?

Shakespeare Live Members

From members of Shakespeare Live we retain the details you have given us in order to send you information about the group, future productions, volunteering opportunities and other events that may interest members. We may also send you surveys about the group. Telephone numbers are held in case we need to get in touch with our members urgently for volunteering opportunities or event cancellation at short notice. This contact data will be held for two years after which members are asked to re-register. If re-registration does not occur within 30 days all contact information will be deleted from our database.

 

Members can ask to be removed from the membership list at any time by using the contact details at the bottom of this privacy statement, you can unsubscribe yourself using the unsubscribe links on the bottom of your emails, or by clicking here. Please note that unsubscribing will also remove you from our Members only Facebook group. 

 

Shakespeare Live Customers

By purchasing tickets through ticketsource.co.uk or via the paper flyer you become a customer of Shakespeare Live and we retain the contact information that you provide. We will ask you if we can contact you about future productions. If you agree, your information will be added to the Shakespeare Live customer list and held for 5 years after the last time you gave us permission to hold it, after which it will be deleted. We may also, from time to time, ask customers to complete surveys on Shakespeare Live.

 

Customers can ask to be removed from the customer list at any time by using the contact details at the bottom of this privacy statement, you can unsubscribe yourself by using the unsubscribe links on the bottom of your emails, by clicking here, or by opting out of communications when purchasing tickets.

 

Customers who have not agreed to receive information on future productions will have contact information retained in the customer list for issuing tickets and advising on any changes to the production for which they have purchased. This information will be deleted from our records once the production has finished.

 

If customers choose to make a donation via Gift Aid we will pass information to HMRC to enable us to reclaim the tax on the donation.

 

Shakespeare Live Volunteers

From volunteers involved in a production (including actors, directors, crew and front of house staff) we will retain the information that you provide us on the membership list. By agreeing to take part in the production you will automatically be added to the membership list. See Shakespeare Live Members section above. Addresses and dates of birth collected for the purposes of the production will be deleted after the production as they are not stored on the members list. During auditions for a production, you will be asked to provide measurements for costumes and your consent for us to take and use photographs and video on our website and social media. Measurements will only be stored until the production is finished.

 

For a child under 18 we will also collect the child’s date of birth and parental or guardian details. In addition we will need to collect information as required by the Council in which you live in order to apply for a Performers Licence. We will hold this information for as long as is required by regulation.

What is the legal basis on which we hold your information?

We will hold your information on a contractual basis to fulfil your request to become a member, a volunteer or to purchase tickets and to keep you informed about any changes to the production for which you have volunteered or purchased tickets for.

We will hold your preference for marketing communications on a consent basis, so you must give us your consent for us to sent you information about our productions. We have a legitimate interest in holding consent obtained from volunteers for the use of photos and videos for promoting the activities of Shakespeare Live.

 

Who gets to see your information?

Contact data provided is shared only with the Board of Trustees for the sole purpose of sending information and marketing material about Shakespeare Live and its productions. Information provided on audition forms will be shared with the Directors of the Production and the Production team.

 

Is your information shared with any third parties?

We do not share your information with any third parties for marketing purposes. We do, however, use third party software to send out emails. Currently we use Mailchimp. If this changes we will let you know in advance by email. We will forward your information to relevant authorities where there is a legal obligation for us to do so.

 

Can I ask you what information you hold about me and ask to have it changed?

Yes, you can ask us what information we hold about you and we will make this available to you within 10 working days. We will also correct any information that we hold about you that is incorrect within 5 working days. Use the contact details at the bottom of this Privacy statement to get in touch with us.

If you are volunteering in a production at the time we will keep your information until the end of the production.

If necessary, who can I complain to?

If you feel that we are holding inaccurate information about you or we have not updated or deleted your information in line with your wishes you may complain to the Information Commissioner’s Office or the Charities Commission.

 

Social Media

If you access our social media sites, currently Facebook and Twitter, then we may obtain information about you through that site. This is information that you have made available on social media to share publicly. Please check the Privacy Policy of the social media site that you use.
